Terms and Conditions

Booking and Rescheduling:

You are responsible for selecting the dates/times of your sessions by choosing from your tutor's schedule in the online booking system. Online booking is free. Your initial session and first session of your Study Package can also be booked by the admin team free of charge. However, any additional requests for administrative bookings will require you to pay a minimum admin fee of $12.50 per session.

Rescheduling is restricted. Any request for changing the date and/or time of a 1-to-1 tutoring session will be considered an acceptable request for rescheduling only if Hit the Books receives the request with an acceptable prior notice, which is 24 hours prior to the sessions on weekdays, 48 hours for weekend sessions and by 6:00 PM of the previous Friday for Monday sessions. The student needs to receive a confirmation by email. Otherwise, regular complete charges will apply for the sessions, due to cancellation with a short notice or without prior notice. Determined by Hit the Books, for an emergency situation, only if it is considered necessary, Hit the Books may or may not offer one hour of credit of a lost session due to an emergency. Tutors are only responsible for academic concerns and will NOT be able to help you with scheduling and rescheduling requests. The administration office is responsible for scheduling or rescheduling requests.

An Admin Fee will apply for any rescheduling that is confirmed in time, with an acceptable prior notice.

Minimum Admin Fee: $12.50 + tax

Minimum Admin Fee is available for a limited number of times for each Study Package, for the convenience of Hit the Books students and in case they have no choice but to reschedule their sessions:

For Study Packages that have 12 sessions and more, Rescheduling with the Minimum Admin Fee is available ONLY for three times.

For Study Packages that have 8 to 11 sessions, Rescheduling with the Minimum Admin Fee is available ONLY for two times.

For Study Packages that have 2 to 7 sessions, Rescheduling with the Minimum Admin Fee is available ONLY for one time.

Regular Admin Fee: $16.50 + tax

Regular Admin Fee will apply after the above-mentioned numbers of Rescheduling with an acceptable prior notice.

Rescheduling is not available for students in Mini-Group (3-7 students) or Group (8-20 students) sessions. If the admin team exceptionally needs to cancel a session, we will let all group members know in advance and send the rescheduled date and time based on the availability of the Mini-Group or Group.

Changing Your Session (in-person vs online):

Any request for changing your confirmed session from in-person to online (or vice-versa) will be approved (free of charge) if Hit the Books receives the request with an acceptable prior notice, which is 24 hours prior to the sessions on weekdays, 48 hours for weekend sessions and by 6:00 PM of the previous Friday for Monday sessions.

A Regular Admin Fee of $16.50 (+ tax) will apply to any request to change an in-person/online session if the request is made with short notice.

*The administration office is responsible for class location assignment requests. Do not contact your tutor with scheduling requests.

Study Packages and Tutoring Sessions:

Each study package (including proofreading packages) is for one course only, and within one academic semester. Tutoring sessions are 2 hours each.* There will be no refund for study packages or trial sessions unless Hit the Books cancels a registration or a trial session due to internal affairs, such as a lack of appropriate tutor(s). In case of cancellation of a study package or a trial session by the student(s), Hit the Books may or may not offer the student(s) certain credit(s) that can be used for other services or study packages at Hit the Books within the same or following semester. Administration fees and other restrictions may apply. GST and QST taxes will be added to the rates of the tutoring sessions offered at Hit the Books, with the exception of Primary and High School tutorials, which are tax–free.

*1.5 hour sessions are available for high school students upon request. An admin fee will be added to the total for each extra session this produces. For example, 12 2-hour sessions will become 16 1.5-hour sessions, while 4 admin fees will be added for the extra sessions.

Reducing or Cancelling Sessions in a Package:

If the student cancels or reduces the number of sessions in a package, we may offer credit or reimbursement, subtracting the number of the rescheduled/canceled sessions (up to a maximum of 4 admin fees). Eligibility for this option will be determined by Hit the Books.

Short Notice Cancellation:

Any request for changing the date and/or time of a 1-to-1 tutoring session will be considered an acceptable request for rescheduling only if Hit the Books receives the request with an acceptable prior notice. Acceptable prior notice is 24 hours prior to the sessions on weekdays, 48 hours for weekend sessions and by 6:00 PM of the previous Friday for Monday sessions. The student needs to receive a confirmation by email that Hit the Books has received the request. Otherwise, the session will be considered cancelled without acceptable prior notice which has neither a refund nor a rescheduling option. Determined by Hit the Books, for an emergency situation, only if the cancellation is considered necessary, Hit the Books may or may not offer one hour of credit of a lost session due to an emergency.

Course Material and Preparation:

Tutors are not obligated to spend any time outside of tutoring sessions reviewing materials, answering questions, or any other form of preparation. Tutors will not help with assignments outside of the session. However, as a good gesture, tutors may spend up to 15 minutes maximum for basic courses and up to 30 minutes maximum for advanced courses, reviewing the material for each session as self preparation, in order to make sure their tutoring session(s) will be as efficient as possible. In the meantime, students are encouraged, in some cases, e.g. for advanced courses, to send course materials that they would like their tutor to review in their session a minimum of 48 hours in advance, in order for Hit the Books and our academic team to be sure about the quality of the sessions.

Receipts:

Receipts must be requested less than 90 days from the date of payment, otherwise an Admin Fee of $16.50 + tax will apply. Receipts requested within 90 days of payment require 2-5 business days to prepare. Receipts requested later than 90 days after payment will require 1-2 weeks.
